Capacity, guests and the waitlist for hosts

Short answer

You decide how many people fit when you create the event, and you can change it later. If you keep a waitlist, it fills when the event is full and moves forward on its own, in order. You cannot move a person up the list; raising the number of places moves everyone forward at once.

Set capacity when you create the event

On the who is it for? step:

  1. Under how many people fit, choose a set number and enter it under how many, or choose no limit. You have to choose one.
  2. Turn on Keep a waitlist if you want one. When somebody drops out, the next person in line is offered their place.
  3. Under bringing somebody, choose how many guests one RSVP can bring. Each guest takes a place. Choose no guests to allow none.

Change capacity after publishing

  1. Open the event from the Create tab.
  2. Tap Change something.
  3. Edit how many people fit. Leave it empty for no limit.
  4. Tap save.
  • Raising it opens places, and people on the waitlist move up in order.
  • Lowering it tells everyone holding a place, because it changes what they agreed to. Nobody loses their place. If more people are coming than now fit, the event shows more people are coming than now fit on your list, and nobody new can join.

See who is coming and who is waiting

On the event's page, under who is coming:

  • The list shows who holds a place.
  • The waitlist appears while somebody is waiting and shows how many. It opens Waiting, which lists people in order with the day they joined and any guests.

On the Create tab, an event that is full with people waiting shows full, with people waiting.

On a paid event with a waitlist, Waiting has a switch: Charge a card when a place opens. The text under it is the exact wording people on the waitlist agree to. It applies only to people who saved a card and agreed. Anyone else keeps their place in line and is asked when a place opens.

Common problems

  • You want to let one particular person in ahead of others. The waitlist cannot be reordered by anybody, including you. That keeps the order fair when people ask you directly.
  • "Couldn't check who is waiting." Tap retry on the event's page.
  • Somebody without a place turns up at a free event. See run check-in at the door.
